Transferring email data between Outlook accounts can be achieved through several methods, each with its own advantages and disadvantages. Here's a breakdown of the most common approaches:
1. Exporting and Importing PST Files (Manual Method)
This method involves exporting your email data from the source dataset account into a PST file (Outlook Data File) and then importing that file into the destination account. This method is suitable for transferring large amounts of data.
Steps:
Export from the Source Account:
Open Outlook and go to File > Open & Export > Import/Export.
Choose "Export to a file" and click Next.
Select "Outlook Data File (.pst)" and click Next.
Choose the email folder(s) you want to export (e.g., Inbox, Sent Items). It's recommended to select the top-level folder to export everything. Ensure "Include subfolders" is checked. Click Next.
Choose a location to save the PST file and give it a name. Click Finish.
You can optionally add a password to the PST file for security.
Import to the Destination Account:
Open Outlook and go to File > Open & Export > Import/Export.
Choose "Import from another program or file" and click Next.
Select "Outlook Data File (.pst)" and click Next.
Browse to the location of the PST file you exported. Click Next.
Choose how to handle duplicates (e.g., "Do not import duplicates"). Click Next.
Select the folder where you want to import the emails (usually your Inbox). Click Finish.
